Cataloging @ UWCSEA East: International Young Historian Conference

Guidelines

IYH essays are stored in a google drive in Library East called International Young Historian Conference Resources. There are subfolders for each year.

Cataloging rules for IYH essays.

The quickest way to create new records is to open one of the previous IYHC records and Duplicate title. Then you can just change the bits that are different.

Open the IYH file in google drive. The files may have to be renamed when they are saved as google docs in the libraryeast drive. Open the page for the International Young Historian Conference and use the same naming conventions that they list. If the title of the essay differs, you may want to include that as a subtitle. You may also include the question or topic as a subtitle. Each essay, when named in the drive, should have the Panel name first - such as the 2014 panel Ideology and the Rise of Communism and then the name of the essay, such as The Communist Evolution. See this example record.

In Destiny, go to ADD TITLE. Use Easy Editor to create the record. 

BRIEF TITLE TAB

  • Title: cobble together the correct title from the website and the downloaded essay. Use the subtitle box for the "research question" if necessary.
  • Author: copy & past from title page of the essay, but also be sure to check against the essay on the website. The author is listed as Givenname Familyname. List multiple authors in the same order as they are listed on the title page of the essay.

  • Material type: Ebook (so that the OPEN button appears on the search results and title record.)
  • Name: List the name in the author string (in the above example Abhisvara Sinha) in the Name box, in the form Familyname, Givenname.
  • Do use the Find Heading button for consistency, as it is possible the student has been entered in the catalog for their EE or TOK essay.
  • Additional Authors are listed in the Added Entries tab. The name is entered as Familyname, Givenname.
  • Do use the Find Heading button for consistency, as it is possible the student has been entered in the catalog for their EE or TOK essay. Do check the names for typos - is the name is misspelled, it will not be listed in search results for that name.
  • Place: Singapore
  • Publisher: UWCSEA
  • Date: the year the essay was listed in the conference website.
  • Copyright: leave this blank.
  • Extent: 1 online resource (XX pages.) The google doc should give the number of pages. 

SERIES/NOTES TAB

  • Series Title: International Young Historian Conference - use the Find Heading button to ensure consistency: for Volume, put in the year of the conference the essay is associated with, which should be the same as the Date from the previous tab.
  • Using the MARC editor, add a 490 tag with the Series Title of the name of the panel, for example, Ideology and the rise of communism. No volume number is given. After entering the first Series Title, use the Find Heading button to ensure consistency.
  • Using the MARC editor, add a 490 tab with the Series Title of the conference and the overall topic of the conference that year. For example, International Young Historian Conference; Communism in Asia. After entering the first Series Title, use the Find Heading button to ensure consistency.
  • Content Note: copy & paste the Abstract here. Do not use the Synopsis here; rather, use the Abstract.
  • General Note: "This essay was submitted by FIrstname Lastname, a student at the XXX School, Countryname."

SUBJECTS TAB

  • LOCAL subjects: History essays; History conferences; Nonfiction. Remember to choose the Local Heading tag from the drop-down box. This is a 690 tag in the Marc record.

  • Add a PERSONAL subject heading if a certain person is germane to the essay. For this example:

  • Add TOPICAL subject headings as appropriate.

  • Add GEOGRAPHIC headings as appropriate.

RDA TAB

  • Destiny should automatically put in these fields.
  • Content type: Text
  • Media type: Computer
  • Carrier type: Online resource

RESOURCE LOCATOR TAG - Use the MARC Editor for this section

  • Put in the link to the google doc stored in the Library East drive. While the document is open, click on the Share button at top, and then in the pop-up window, click on the green Get Shareable Link button (this will put the URL on your clipboard) and then click Done. Paste the URL into the URL box in the Resources tab. (See below.) In the Description box, put either "Full-text google doc" if that is how the essay is stored, or put "Full-text PDF" if that is how the essay is stored. Be sure to click on the Update button to save the information.
    The Description is what shows up as a blue link in the Destiny title record, and it is what users will click on to get to the google doc or PDF. See example below:


ADD COPIES - Use the COPIES Editor for this section

  • Starting barcode: use "assign next barcode."
  • Call number: S\IYHC
  • Sublocation: East Sec Lib: FIC / NON-FIC
  • Vendor: UWCSEA East
  • Funding: Free Copy.


IMAGE - add an image to the title record.

  • Use the image from the IYHC website.
  • Use shift-command-4 to take a customized screen shot of the IYHC logo above the UWC logo. Load into each title record.
